DuesDesk Studio is a Mac and Windows app for the treasurer and alumni advisors. It reads Venmo emails, matches them to brothers, chases late dues, and prints the packet the alumni board asks for. Members never log in to anything.

Where a chapter’s money goes sideways

Whether the budget is $50,000 or $500,000, the same four things go wrong. Here is what DuesDesk does about each.

Late dues
Nobody wants to text a brother about money, so balances sit until the alumni board asks why reserves are short.
Reminder sequences go out by SMS and email on a schedule you set, formal past-due notices follow, and a payment plan comes with a signed PDF agreement.
Chairs spending first
Rush and Social spend, then hand you a stack of receipts in May.
Every chair gets a budget for the period. Reimbursements are approved against it, receipts are compressed and filed, and the spending advisor flags a chair before they pass the cap.
Fees on every payment
Card payments through a billing portal lose a percentage before the money reaches the chapter.
Members pay the way they already do: Venmo, Zelle, bank transfer or cash. DuesDesk reads the receipts and matches them. It never touches the money.
Starting from zero
The new treasurer gets a spreadsheet, three passwords in a group chat and no history.
The outgoing treasurer seals the term into one encrypted file. The next treasurer opens it with a passphrase and inherits every balance, plan and report.

Everything the treasurer does, in one app

DuesDesk Studio 1.0.1 runs on macOS and Windows. Regular members never log in; it’s built for the treasurer and the alumni advisors who check the treasurer’s work.

Collect

  • Venmo and bank reconciliation

Reads Venmo payment emails from your inbox and matches each one to a member’s balance.

    • Connects to your inbox over IMAP
    • Flags forwarded receipts and holds spoofed senders
    • Imports bank, Venmo and greekbill CSV files
    • Builds greekbill charge upload templates
  • Dues, charges and payment plans

Charge the whole roster at once and give anyone who needs it an installment schedule.

    • Charge presets for each term
    • Custom installment schedules
    • PDF payment plan agreements
    • Payment links for each platform
  • Collections

Late balances get reminded on a schedule, so you never have the awkward conversation.

    • Multi-step SMS and email sequences
    • Formal past-due notices
    • Sequences stop the moment a balance clears
  • House rent

A separate ledger for residents, so parlor and room rent never mix with chapter dues.

    • Resident ledger
    • Room and parlor rent kept apart from dues

Control

  • Chair budgets and presales

Budgets for Rush, Social, Philanthropy and Brotherhood, with every reimbursement checked against them.

    • Period budgets with caps
    • Reimbursement records with compressed receipts
    • T-shirt and event presales with profit and loss
    • Spending advisor that flags chairs near their cap

Report and hand off

  • Executive packet and cash flow

One PDF for chapter meeting and the alumni board, plus a calendar of what’s due and when.

    • One-click executive PDF
    • Cash-flow reports
    • IHQ, insurance and other recurring bills on a calendar
  • Security and treasurer handoff

Credentials stay in your computer’s own keychain. Backups are encrypted before they’re written.

    • macOS Keychain or Windows Credential Manager
    • AES-256-GCM encrypted backups
    • One sealed file for the next treasurer

Your ledger stays on your computer

There is no DuesDesk account and no DuesDesk server holding chapter data. Saved passwords live in the macOS Keychain or Windows Credential Manager, and backups are sealed with AES-256-GCM.

DuesDesk connects out only for what you turn on

  • Your email inbox, over IMAPOnly if you turn on Venmo email sync, to read payment receipts.
  • Your SMS providerOnly if you turn on text reminders.
  • Your cloud backupOnly if you turn it on. The backup is encrypted before it leaves your computer.

How DuesDesk compares

Billing portals do one thing DuesDesk doesn’t: they process payments themselves. Everything else is below, with sources for every competitor price.
